Free Wedding Planning Tools for Every Timeline

Just engaged? Congratulations! You've probably already shown off your ring, called your family and started saving wedding ideas on Pinterest. And now everyone wants to know the same things.

Have you picked a date? Where are you getting married? Have you found your dress?

Before the questions get overwhelming, we've put together some free wedding planning tools to help you get organized, including a printable checklist, a planning timeline, seating plans and our preferred vendor list.

It's exciting, and it can also feel like a hundred things at once. The first question most newly engaged couples ask us on a tour is simple: "Is there enough time?" The answer is yes. The fastest wedding we've hosted went from booking to wedding day in two months, and some of our brides plan two years out.

What's Inside Our Amarillo Wedding Planning Hub

One of the first things we recommend to newly engaged couples is a good checklist. Not because you need to check off a hundred things today, but because it's nice to know what needs to happen and when.

We've gathered our favorite planning resources in one place, and they're free whether you get married at Cornerstone Ranch or somewhere else.

Here's what you'll find in our Amarillo wedding planning hub

  • Wedding Planning Checklist: A printable PDF to keep track of everything from booking your venue to the final wedding-week details.

  • Wedding Planning Timeline: A printable PDF so you always know what to tackle next.

  • Reception Seating Plans: Table arrangements to help you picture how your guest list fits in the room.

  • Preferred Wedding Vendors: Photographers, DJs, bartenders and other wedding pros we send our own couples to.

  • Event Insurance: A link to day-of event coverage.

  • Guest Accommodations: A hotel booking page for your out-of-town guests.

  • Questions for Your Venue: Answers to the questions couples ask us most.

You'll also find our wedding packages and, yes, our Whataburger Late Night Bites.

How Long Does It Really Take to Plan a Wedding in Amarillo?

You don't necessarily need a year or more.

At Cornerstone Ranch, our average couple books 9-12 months before their wedding day. Some start two years ahead. Others have much shorter engagements.

The shortest time we've had between booking and wedding day was two months. That couple chose our Platinum package, so our staff handled their table decor. They also booked vendors from our preferred list, people who already know our venue. On their wedding day, they walked in and everything was ready.

Here's what that taught us: the amount of time you have matters, but so does how much you have to organize yourself. A couple doing their own decorations and coordinating every vendor may need more time than a couple whose package handles some of those details.

Neither approach is wrong. They're just different. So whether your wedding is two years away or a few months away, don't assume your timeline won't work.

One less thing to worry about on your wedding day! At Cornerstone Ranch Event Center, your reception is already set before the ceremony begins. No room flip, no waiting around, just a smooth transition from saying “I do” to celebrating with your favorite people.

You're Engaged! What Should You Book First?

Your venue usually comes first, because your date, guest count and location shape almost every other decision.

After that, here's the list brides have recommended to us over the years:

  • Your dress

  • Your photographer

  • Your DJ

  • Dessert

  • Food

It's not a strict order. If photography matters most to you, maybe you find your photographer first. If there's a dress you've been dreaming about, maybe that's where you start. The important thing is knowing which parts of your wedding matter most to the two of you.

A Little Advice About Wedding Vendors

You don't have to start your vendor search from scratch. Our preferred vendor list is made up of wedding pros who already know our venue. That's one less thing for you to worry about.

Picking Your Season in the Texas Panhandle

The holidays are a popular time to get engaged. Once the excitement settles, a lot of couples start planning right after the new year.

We've hosted weddings throughout the year, including January celebrations. Every season brings something different, whether you're getting married in Amarillo, Canyon or anywhere in the Texas Panhandle.

Here in West Texas, the weather is always worth thinking about, especially if you want an outdoor ceremony. Our venue has indoor and outdoor options, so you can plan the wedding you want and still have an indoor backup.

One Important Thing to Know About Wedding Dates

Touring a venue doesn't reserve your date.

At Cornerstone Ranch, your date is locked once your retainer is paid. Until then, it's still open for another couple to book.

You don't need to rush into choosing a venue. But once you've found the right place and know your date, don't wait too long to make it official.

Frequently Asked Questions From Newly Engaged Couples

How long does it take to plan a wedding in Amarillo?

At our venue, the average is six to eight months from booking to wedding day. Some brides plan two years out, and our fastest couple did it in two months.

Can you plan a wedding in 6 months or less?

Yes. We've hosted a wedding just two months after the couple booked. A shorter timeline means making decisions sooner, and a package where our staff handles the decor plus vendors from our preferred list makes it a lot easier.

What should I do first after getting engaged?

Enjoy being engaged! Then talk about your ideal date and a rough guest count, and start touring venues. Your venue sets your date, so it comes before almost everything else. From there, a planning checklist helps you organize the next steps.

Are your wedding planning tools really free?

Yes. The checklist and timeline open as PDFs straight from our wedding planning hub, along with seating plans, our preferred vendor list and more. You don't have to book Cornerstone Ranch to use them.

When is our wedding date locked in?

Once your retainer is paid. Until then, the date is still open for another couple to book.

Do we need wedding day insurance?

We tell every bride to buy day-of liability insurance as an added layer of protection. We also recommend cancellation insurance to each of our couples. It doesn't guarantee you're covered for everything, so ask the provider exactly what's included. You'll find an event insurance link on our wedding planning hub.

Should we use our venue's preferred vendors?

A preferred vendor list is a great starting point. Our preferred vendors already know our venue, which makes coordinating your wedding day easier.

One Last Piece of Advice

Don't get so caught up in planning the wedding that you forget to enjoy being engaged.

There will be decisions to make, emails to answer and details to figure out. But there's also dress shopping, cake tasting, celebrating with your favorite people and watching your ideas turn into your actual wedding day.

You don't have to have it all figured out this week. Start with a checklist. Talk about what's important to both of you. Pick a few possible dates. And enjoy it.

Whether you're planning a wedding in two months or two years, our free Amarillo wedding planning resources are here whenever you need them.
